Release 2025.03

4 March 2025 7 minute read

As of March 4, 2025, all customers on the production version of the Procurios Platform will use release 2025.03. In this blog you can read what is new and what has been improved. For more information about the different versions of the platform, see the release page.

API: Access security to Meetings for third parties changed

If a third party requests information about registrations of relations for Meetings via our API (for example to show meetings on a website that does not run on the Procurios Platform), this third party must also have access to a View in the CRM in which this relation is visible. This is not functionally necessary, because the third party has no further reason to have access to the CRM. This is also inconvenient in terms of the GDPR.

The external system therefore now only has access to the relevant data based on the setup of the API application and no longer based on the CRM setup. As a result, access is no longer required in the Procurios Platform.

API: Email statistics available

When you send mailings, such as the newsletter or perhaps even because of Marketing Automation, from your Procurios environment, you can already see how (well) it is read or which content blocks or buttons are pressed. This is valuable information that ensures that you are better able to reach your target group.

But what if you want to view this information from another platform?

From this release it is possible to retrieve these e-mail statistics from the Procurios platform via an API to use on another platform. The same insights, only flexible to use!

API: VAT fields and relation type available

Through a relation API, your organization can use the CRM data in Procurios, in the environment of another platform. This is not only convenient, but also reliable, since there is only one (CRM) truth. Namely the one in your Procurios environment.

To ensure that you can create the most complete picture possible in an external platform via the API, we have now also made VAT fields and the relation type available.

With these two additions you can make even more use of the data in Procurios, even if you use other platforms.

CRM/Platform: notification of mutations per organ

Via the mutation list in ‘My Departments’ you can see exactly which members have become part of a specific department or have left for a specific reason. Useful information that you may want to get a heads-up about, especially if you do not work in the Procurios Platform on a daily basis.

That is why it is now possible to subscribe to the mutation list of a department. Every morning it is checked whether there are any changes and if so, you are informed about this via an e-mail. This ensures that you do not have to log in every time to check whether there are any changes.

Donations/Platform: each organ has its own fund

Representatives of each organ could already gain access to a limited part of the CRM thanks to Memberships & Organisations, which included the relations that are classified in their organ and the progression of the number of relations in it. For fundraising organisations, there was still something missing for these representatives: insight into donations and commitments from only their own organ. These insights were often compiled and distributed by the organisation itself.

From this release, representatives with the right rights can also gain insight into the fund that has been created specifically for their body. Via the already existing ‘My Department’, the Donations, Pledges and Forecast from the linked fund are shown for a body.

In this way, (local) representatives can work more independently and efficiently for your organisation!

From this release, it is also possible to change the name ‘My Department’ to a term that suits your organisation.

Finance: Batch limits for direct debit orders

In order to be allowed to execute collections, you as an organization have an agreement with your bank. You can then upload a file with collection orders that the bank will then execute for you. Some banks have limits that you may not exceed. For example:

  • There is a limit on the number of direct debits you can have carried out at one time
  • The total amount you collect at one time has a maximum

(The height of these limits may differ per bank/agreement.)

These limits can sometimes cause problems if you are not alert to them. From now on, you can set the batch limits in advance in the platform. When creating a batch, these limits will then be taken into account.

Finance: insight into what an online payment is linked to

You check the list of 'online payments' and see a transaction that you do not immediately recognize. A description or reference might have allowed you to deduce what the transaction was intended for, but because the associated pledge or invoice was not shown with the online payments, there was room for improvement.

IIn the overview of online payments we have now added the column ‘Linked to’ which always provides clarity. In this new column you can see for each online payment what it was made for. You can then click on the linked object, such as an invoice or pledge, to view its details.

Finance: direct debit collection orders on every day of the month

An annual contribution can be a large amount for some members to pay in one go. A quarterly or monthly membership is not always an option. Associations sometimes choose to have the automatic collection of the annual contribution paid in installments. Per month, for example.

Considering the shortest month of the year (February), it was not possible to choose a collection date after the 28th. A collection date of, for example, the 31st would go wrong in months that only have 30 or 28 days. A handy solution. But less handy if, due to circumstances, you are just too late to collect on the 28th and you can therefore only collect on the 1st of the following month.

Therefore, from now on, all days of the month are available to choose as collection day. If you choose a collection day that does not occur in every month, the last day of the month will automatically be used for those months. Example: if you want to collect an invoice in 12 months and you start on January 31, the following collection dates will be used: February 28 (or February 29 in a leap year), March 31, April 30, etc.

Finance: resolve a rejected direct debit order by the bank

When you offer a collection batch to the bank, it can happen that individual collection orders are rejected. Some banks do this properly by reporting these instructions as a reversal via the system. The Procurios Platform then knows exactly what is going on and how to deal with it.

There are also banks that simply remove the rejected orders from the batch and only indicate in writing which orders are not executed. Our platform does not 'know' this, which means we cannot process the bank transaction of the collection batch. The collection amount of the bank statement then no longer matches the amount known in Procurios.

We have therefore made it possible for you to indicate within the direct debit batch that a direct debit order has been refused.

Meeting & Events: register and manage multiple groups

A meeting via Meetings & Events can be organised in such a way that one person registers himself and/or other participants. However, the same registrant could only do this once at the same meeting.

This became a limitation when not all participants were known at once at the first registration moment. We have therefore made this process around registrations more user-friendly and at the same time a bit clearer.

From now on, the registrant will be able to make multiple registrations for other participants at the same meetings. In addition, we will give this registrant an overview of the previous registrations and the status of the participants concerned on the registration page.
