Procurios and your privacy
In order to do our work and help you decide if Procurios is right for you/your organization, we process personal data. This affects your privacy. Therefore, we consider it important to always make careful considerations in this regard. On this page, you can read which data we collect (and when/why), what considerations we make for this, and how you could potentially object. All of this is in accordance with European privacy regulations (AVG/GDPR).
Your personal data: What data do we collect and why?
Depending on your contact with us, we collect various (personal) data. Click below on the situation that applies to you, so that you know what data we collect from you, how long we store it, why and on what legal basis.
When you visit the Procurios website, we initially only collect an IP address in combination with which browser and which operating system you use. We use this information to guarantee the technical service and to counter any cyber attacks. The legal basis for processing this data is our legitimate interest. Only the employees who are responsible for this can view this information. We do not share this information with anyone. After one month, we automatically delete this data.
If you also accept cookies when visiting our website, additional data will be processed. Please also view the cookie statement on our website to see which data is processed by whom.
There are several ways to let us know that you are interested in (one of) our products:
- You download a whitepaper
- You register for a webinar
- You subscribe to our newsletter
- You complete a test to discover how digitally mature your organization is
For processing your personal data, we use the legal basis: consent. You can always withdraw consent - without any adverse consequences for you . If we then have no other legal basis to store your data, we will delete it. We will
also delete your data if we notice that you have not shown interest for a while - for example after unsubscribing from e-mail newsletters or marketing e-mails. We do this after two years at the latest.
We process the following data:
- Your name
- The name of your organization
- Email address
In some cases we also process the following data - if you choose to share it with us (not mandatory):
- Position
- Date of Birth (for birthday emails)
- Phone number
When you contact our sales department, we assume that you are seriously considering purchasing (one of) our products. Choosing a new platform for CRM and marketing takes time. That is why we do not store your data for a fixed period, but until you indicate that you are no longer interested. During the process that we go through with you, we use your data to map out your wishes, to discover whether our product suits you and your organization and to contact you in case of questions. We will retain your personal data for up to 3 months after you indicate that you are no longer interested.
We then process your data on the basis of the legal basis: performance of an agreement.
You can contact our sales department in several ways:
- You have a phone call
- You submit a callback request on our website
- You submit a request for information (RFI) or request for proposal (RFP)
- You request a demo
- During a trade fair/event you indicate that you want us to follow up on the contact
We process the following data within a sales process:
- Your name
- Organization name
- Function (not required)
- Email address
- Phone number
- Logs of contact moments
Where applicable, we use the following sub-processors
- Zoho: In Zoho, we work on support tickets, deals and on ongoing tasks. Tasks and tickets that you are involved in are linked to you, so we can keep you updated on the progress. It also lets us know who to contact if we have questions about the task.
- Google Suite: We use Google Suite for our emails and calendar. If we have direct communication with you via email, or if we schedule an appointment with you, we share your business email address with Google Suite for this purpose.
- Voys: We use Voys for telephone contact. If you have telephone contact with Procurios, we share your name and telephone number with Voys.
Are you an employee of a client? In that case, we process your personal data for the purpose of our active collaboration. We rely on the legal basis for this processing: performance of agreement. We process this data of yours until you indicate that the client wants to end the relationship, or until you leave the employment of the client and you or your employer inform us of this.
We use this information to:
- to keep you informed of developments on the platform
- to inform about information security events
- to assist with support questions
- to be able to approach you with substantive questions about the work you have us carry out
- to invite to events organized by us
We process the following data:
- Your name
- Organization name
- Position
- Email address
- Phone number
- Logs of contact moments
- Your tasks (for us) and your tickets
Where applicable, we use the following sub-processors

Are you a member of the Procurios Club? Then we process your data based on your club activities. We process this data to ensure you can read and post messages and responses. We do this based on your consent. We process this data for as long as you remain a club member.
We process the following data:
- Your name
- Email address*
- Phone number*
- Content of your posted messages
- Content of your posted responses
- Profile picture (optional)
- Biography (optional)
*This data is only shown to other users if you explicitly consent in your club profile.
We need this information to ensure you can use the Procurios Club online community. We also use your email to send notifications about new community posts, responses to your posts, or responses to posts you've commented on. You can modify these settings yourself.
If you leave your organization and therefore no longer work for one of our clients, you'll lose club access and your account becomes inactive. Your posts will remain (with name) unless you explicitly request - preferably before leaving your organization - that we anonymize your posts.

Your rights: What are your rights?
You have influence over how we - as the data controller - handle your data. We would like to provide you with an overview of your options:
Right of access
You can ask us at any time what data we collect about you. You can submit a request to us for this.
Right to rectification
You may ask us at any time to correct the data we collect about you.
Right to data portability
You can request the data we collect about you to use it elsewhere.
Right to erasure
You can ask us to erase the data we have collected about you. Where possible, we will always agree to this; in special cases, we will contact you first.
Right to restriction of processing
You may believe that we are processing your data unlawfully. In this case, you might want to prove this (for which the data needs to be retained), but you may also want us to stop processing/adding data. In this case, you have the right to restriction of processing and can submit a request for this.
Right to object
When we rely on legitimate interest or public interest as a legal basis, you have the option to object to this. However, we currently do not use these legal grounds.
It is however always possible to file a privacy complaint.

Of course, we hope you are satisfied with how we handle your personal data. However, you may still have a complaint. In that case, you have several options:

The Data Protection Authority is also available to you. They supervise compliance with the General Data Protection Regulation (GDPR).
